Two kinds of data: yours and your customers'

Crmbuz is a business tool. It is important to understand the difference between the two types of data we handle:

• Account Data is information about you and your organisation, such as your name, email, company name, billing details and how you use the Service. We are the controller of this data and this policy explains how we use it.
• Customer Data is the information you and your Users enter into Crmbuz, such as leads, contacts, deals, employee records, candidate profiles, payroll details, invoices, projects and documents. You own this data and decide how it is used. We process it only on your instructions to provide the Service, and you are responsible for having the right to collect it and for informing your own employees, candidates and clients.

Information we collect

We collect information in the following ways:

• Information you provide. When you register, subscribe, contact support, request a demo or fill in a form, we collect details such as your name, email address, phone number, company name, job title, billing address and payment information. Payments are processed by our third-party payment providers and we do not store your full card details on our servers.
• Customer Data you upload. Any data you or your Users enter into the Modules of the Service, including files and attachments.
• Device and usage information. When you use the Website or Service we automatically collect your IP address, browser type, device type, operating system, time zone, language, referring pages, pages viewed, features used, and the dates and times of your activity.
• Cookies and similar technologies. We use cookies, local storage and similar tools to keep you signed in, remember your preferences, understand how the Service is used and improve it. See the cookies section below.
• Communications. If you email us, chat with support or reply to our messages, we keep a record of that correspondence.

How we use your information

We use Account Data and usage information to:

• create and manage your account and provide the Service you have subscribed to;
• process payments, send invoices and manage your subscription and renewals;
• provide customer support, respond to your requests and communicate with you about the Service;
• send service notices such as security alerts, maintenance windows, billing reminders and changes to our terms;
• monitor, secure and improve the Service, fix bugs, and develop new features and Modules;
• analyse usage in aggregate to understand how the Service performs;
• send you product updates, tips and marketing messages, which you can opt out of at any time;
• detect, prevent and investigate fraud, abuse, security incidents and violations of our Terms;
• comply with legal obligations and enforce our agreements.

We use Customer Data only to provide, secure, support and maintain the Service on your behalf, as described in this policy and our Terms of Use. We do not sell Customer Data and we do not use it for our own marketing.

How we share information

We do not sell your personal information. We share information only in the following situations:

• Service providers. We use trusted third parties to help us run the Service, such as cloud hosting and storage, payment processing, email delivery, SMS and notification services, analytics, error monitoring and customer support tools. They are only permitted to use the data to perform services for us.
• Integrations you enable. When you connect Crmbuz to a third-party service such as an email provider, calendar, payment gateway, storage or messaging tool, we share the data needed to make that integration work. Your use of those services is governed by their own privacy policies.
• Within your organisation. Users in your account can see Customer Data according to the roles and permissions your administrators configure.
• Legal reasons. We may disclose information if required by law, regulation, legal process or a government request, or to protect the rights, property or safety of Fovty Solutions, our customers or others.
• Business transfers. If Fovty Solutions is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction. We will notify you of any change in ownership or use of your personal information.

Cookies

Cookies are small data files placed on your device. We use essential cookies that are required for sign-in and security, preference cookies that remember your settings, and analytics cookies that help us understand how the Website and Service are used. Data security

We use reasonable technical and organisational measures to protect information against unauthorised access, alteration, disclosure or destruction. These include encryption of data in transit, access controls, role-based permissions, regular backups and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and for configuring User roles and permissions within your account appropriately. If we become aware of a security breach affecting your personal data, we will notify you as required by applicable law.

Data retention

We keep Account Data for as long as your account is active and for a reasonable period afterwards to comply with legal, tax and accounting obligations, resolve disputes and enforce our agreements. Customer Data is retained for as long as your subscription is active. After your account is closed or your subscription ends, we may retain Customer Data for a limited period so you can reactivate or export it, after which it is deleted from our active systems and, in due course, from backups. You can export your Customer Data at any time while your subscription is active.

International transfers

Fovty Solutions is based in India. Our servers and service providers may be located in India or in other countries. By using the Service you understand that your information may be transferred to, stored and processed in countries other than your own, where data protection laws may differ. We take steps to ensure your information receives an appropriate level of protection wherever it is processed.

Your rights and choices

Depending on where you live, you may have the right to:

• access the personal information we hold about you and receive a copy;
• correct inaccurate or incomplete information;
• request deletion of your personal information, subject to legal retention requirements;
• object to or restrict certain processing;
• withdraw consent where processing is based on consent;
• opt out of marketing emails by using the unsubscribe link or contacting us.

You can update most Account Data from your account settings. To exercise any other right, email us at contact@crmbuz.com. We may ask you to verify your identity before responding. If you are an employee, candidate or client of one of our customers and your data is stored in their Crmbuz account, please contact that organisation directly, as they control that data. We will assist them in responding to your request.

Children's privacy

The Service is intended for businesses and professionals and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

Third-party links

The Website and Service may contain links to third-party websites and services. We are not responsible for their privacy practices or content. We encourage you to read the privacy policy of every site you visit.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational or regulatory reasons. When we make material changes we will update the "Last updated" date above and, where appropriate, notify you by email or within the Service. Your continued use of the Service after changes take effect means you accept the updated policy.
